Privacy Policy

SyncRx is a medication synchronization and delivery planning tool operated by PharmaRX Pharmacy (“PharmaRX”, “we”, “us”) for use by authorized pharmacy staff. This policy explains what information the application handles and how it is protected.

1. Information we process

• Patient information (Protected Health Information): name, date of birth, address, phone number, insurance plan, medications, dosages, days supply, prescriber and refill dates.
• Staff account information: name, work email, role, sign-in times and security events.
• Technical information: IP address, browser type and the actions performed, recorded in audit logs.

2. How we use information

Patient information is used only for treatment, payment and pharmacy operations — specifically to align refill dates and plan deliveries. We do not sell patient information, use it for marketing, or share it with advertisers.

3. Who can access it

Only staff accounts created by a PharmaRX administrator can sign in. Access is limited by role, and every view or change of a patient record is logged with the user’s identity and time. Connected pharmacy systems (such as PioneerRx) access data only through revocable API keys.

4. How we protect it

• Encryption in transit (HTTPS/TLS) and encryption of patient identifiers at rest (AES-256).
• Strong password requirements, account lockout after repeated failed sign-ins, and automatic sign-out after 15 minutes of inactivity.
• Audit logging of sign-ins, record access, record changes, account changes and API activity.
• Business Associate Agreements with vendors that host or transmit Protected Health Information.

5. Retention

Patient records are retained as required by Florida pharmacy regulations and federal law. Audit and security records are retained for at least six years.

7. Changes

We may update this policy. The effective date above shows when it was last revised.
